The Administrative Assistant II role will support Pharmavite's Quality department and its programs, projects, and key initiatives. This role provides general administrative support to assigned manager, department, or team. May administer programs, projects and/or processes specific to manager, department, or team. This role may assist in budget preparation and control.
Critical contributions this role is counted on to deliver include:
Independently administers programs, projects, and/or processes specific to manager, department, or team.
Responds to department-relevant questions from internal and external contacts. Acts as administrative liaison for department or team within and external to organization.
Audits vendor invoices, processes check requests and tracks spending against budget. Maintains budget data. Tracks and analyzes budget variances and adjustments.
Answers calls or composes written correspondence.
Aids in composing, editing, preparing, and distributing materials for meetings and presentations. Prepares presentations involving graphics in various formats including Word, PowerPoint, and Excel spreadsheets.
Schedules meetings, conference calls, and appointments; tracks calendars. Arranges meetings and orders meals, as necessary.
Prepares correspondence, makes copies, and files documents. Organizes department reference materials.
Will assist with booking of travel and completion of detailed expense reports.

The ideal candidate for this role will have experience providing administrate support to multiple senior roles. The ideal candidate will be passionate about working within and supporting a collaborative and multi-site organization. The ideal candidate will be able to support an increasingly agile organization that is supporting change and company growth.
You’ll be most successful in this role if you have:
Will have the proven ability to collaborate and independently lead efforts or projects.
Will have the proven ability to provide administrative and communication support to multiple departments across multiple locations.
Will have the proven ability to communicate to a cross-functional audience, both written and verbal. This communication may include technical topics.
Will have the proven ability to provide scheduling, planning, and logistical insights while supporting individual schedule or events.
In order to take on these challenges, you’ll need to have:
Requires a high school diploma or its equivalent. Two years of business school and or some college preferred. A four year college or university degree is a plus.
Requires three to five years of experience as an Executive Secretary or equivalent position. Business experience is important.
Advanced proficiency in word processing, spreadsheet and graphic presentation software including but not limited to Microsoft Office applications (Word, Excel and PowerPoint).
Database software experience (e.g., Access) is a plus.
Excellent communication skills, tact and diplomacy in interactions with others, strong organizational skills, the ability to handle multiple projects at once and to work independently.
Able to assist in composing, editing, preparing, and distributing materials for meetings and presentations accuracy and attention to detail.

The salary range for this position is $58,000.00 - $94,000.00.
Actual compensation will take into account a wide range of factors that are unique to each candidate, including but not limited to geographic location, education, experience, qualifications and job-related skills. It is not typical for an individual to be hired above the midpoint of the range for their role and compensation decisions depend on the facts and circumstances of each case. Base pay is only one component of our total rewards offerings, and we will take the full offering into consideration when presenting an offer of employment. Our total rewards package for this position may also include an annual performance bonus, Medical, dental and vision benefits, 401K match, and other wellness benefits.
Pharmavite provides compensation for all overtime hours worked by non-exempt (hourly) employees in accordance with state and federal law.
