The HR Administrative Assistant role is responsible administering a wide variety of complex special projects. Provides general administrative support to multiple HR Leaders and their teams. This role reports to the Director, of Talent & Organization Development.
Key Responsibilities
Critical contributions this role is counted on to deliver:
Provides administrative support to the leadership team in the Human Resources department.
Regular tasks include: screening phone calls, distributing mail, preparing expense reports, composing/editing/preparing presentations, coordinating travel and meetings, managing room set-up and tear-down, managing calendars and maintaining supplies.
Independently performs complex special projects for department projects on a regular basis. This may include creating and distributing employee communications.
Maintains confidential employment/employee relations data and records.
Responds to department-relevant questions from internal and external contacts. Acts as administrative liaison for HR within and external to organization.
Audits vendor invoices, processes check requests and tracks spending against budget. Typically maintains budget data and typically tracks and analyzes budget variances and adjustments.
Performs other related duties as assigned.

Required Skills & Capabilities
In order to take on these challenges you’ll need to have:
Requires a high school diploma or its equivalent. Two years of business school and/or some college preferred. A four year degree college or university degree is a plus.
Requires three to five years of experience as an Executive Secretary or equivalent position in a fast pace environment.
Excellent communication skill, tact and diplomacy in interaction with others.
Ability to work independently.
Ability to handle and maintain sensitive and confidential information.
Proficiency in word processing, spreadsheet and graphic presentation software including but not limited to MS Office Suite (Word, Excel and PowerPoint).

Annual Pay
Annual Pay Range
$54,530.00 - $81,693.00This represents the minimum and maximum base salary range for this role, plus annual incentive. Various elements are used to determine a candidate’s starting salary such as job experience, specific skills, and comparison to internal incumbents currently in the role. This information is provided to applicants in accordance with state and local laws.
Pharmavite provides compensation for all overtime hours worked by non-exempt (hourly) employees in accordance with state and federal law. The need to work overtime hours will be determined by management, based on customer and business necessity to meet the needs of our business, Pharmavite may require employees to work overtime.
Voluntary overtime requested by non-exempt employees must be approved in advance by the employee’s supervisor.
